The physician printed and completed a form, then faxed it or manually uploaded a PDF to an online portal. Faxes could fail or encounter busy lines. Manual portal submission added roughly 10 minutes per case and took time away from patient care. On the insurer side, paper and PDF intake required scanning, OCR, manual review, and follow-up for missing information.

Operational complexity

The integration had to handle provider data, patient demographics, accident details, and insurer ingestion pipelines that include SOAP APIs, XML systems, and custom claims integrations. Submissions needed to be validated in real time and return a claim number to the provider immediately.

Solution delivered

Aditech gathered form and data requirements, then implemented the form inside the province's most widely used Electronic Medical Records (EMR) system. The form automatically preloads the provider licence number, provider location, patient name, patient date of birth, accident information and relevant dates, and other data already held in the EMR. The physician only needs to describe the current case. The form connects to a new Azure-hosted API endpoint that Aditech helped develop. After passing through a web application firewall, the request is securely authenticated to establish that it came from the provider system. The endpoint validates the data and immediately returns errors such as a missing licence number, so the physician fixes the item and resubmits without waiting for a later rejection. Accepted data enters the insurer's ingestion pipeline, which connects through SOAP APIs, XML systems, and custom integrations to claims processing. The resulting claim number returns to the provider in real time, and a copy remains in the EMR.
